01 / Built around your program

The flexibility to change.
The room to be you.

A product launch, a new footprint or a changing show calendar can call for a different exhibit approach. Custom rental gives you a way to adapt the structure while keeping your brand at the center of the design.

01

Design + rental architecture

Start with the people you want to reach, the products you need to show and the way your team works. We plan modular aluminum framing around those needs, with inline, peninsula and island configurations.

02

Graphics + custom details

Fabric graphics, branded counters, product displays and custom mill-shop elements give the structure its identity. Lighting and digital displays can be integrated into the design where they support your message.

03

Freight + show-floor support

GVC can coordinate shipping, installation and dismantle, show deadlines and on-site supervision. We plan those services alongside the exhibit so the creative work and the move-in schedule stay connected.

04

A plan for repeat shows

If you exhibit throughout the year, we can plan layouts for different spaces and identify graphics or custom assets to reuse. Storage, refurbishment and asset care can be coordinated through GVC’s AM+ program.

Every program is scoped to the event. Your proposal should make clear which rental components, custom assets and services are included.

02 / A GVC rental on the show floor

An outdoor world.
Inside a 20×20.

For Yuasa Battery at AIM Expo 2026, the brief was to make powersports batteries memorable in a 20′ × 20′ island at the Anaheim Convention Center.

GVC paired modular aluminum rental framing with custom-cut trees, a canoe product display, 3D-printed details, fabric graphics and digital displays. The result was an outdoor-inspired environment with a clear connection to the products on display.

04 / Questions before you commit

Let’s work through
the details.

Bring your event dates and booth dimensions. We’ll help you work out the next steps.

When does renting make more sense than buying an exhibit?

Rental is worth comparing when your booth size, event schedule or brand presentation is changing, or when you want to avoid owning the full exhibit structure. Purchasing may suit a stable program with repeated use. Compare the full cost and responsibilities across your planned shows in our rental-versus-purchase guide.

What should a rental booth proposal include?

The proposal should identify the rental structure, design, graphics, custom fabrication and any furniture, lighting or technology in the scope. It should also identify the agreed freight, labor and show-management services. Confirm which items are rented, which assets you will own and which organizer or venue charges are separate.

How much does a 20×20 rental trade show booth cost?

A 20×20 footprint alone does not determine the price. Structure height, custom fabrication, graphics, flooring, technology, freight and show labor all affect the total. Share your event, goals and budget range so we can discuss a suitable scope. Our 20×20 booth budget guide explains the categories to include.

How early should we start planning a rental exhibit?

Start as soon as you know your show dates and booth footprint. Design reviews, artwork approvals, custom production and exhibitor deadlines all need time. If the event is approaching, send us the dates so we can assess what is feasible. Use our exhibit planning timeline to organize the milestones.

Can the rental exhibit change size between shows?

Modular rental architecture can be planned for different layouts across a show program. Share the footprints and event schedule early so we can assess which elements can be reused and what needs to change. Graphics, product displays and structure heights still need to fit each layout and its show rules.

Does GVC manage freight, installation and dismantle?

Yes. GVC offers freight coordination, installation-and-dismantle coordination, show-book management and on-site supervision as part of an agreed show-services scope. Our team is based in Southampton, Pennsylvania, and supports exhibits throughout the United States. Explore our trade show services for more detail.
